To Run the Comments Tracking Workflow

This topic describes a typical process of relating documents to a Comments Tracking workflow, and commenting on those documents.

The specific workflow steps (Tasks) and fields displayed on your system may vary from the steps described below, as these are defined by your ALIM System Administrator. For more information about designing and creating a workflow intended for Comments Tracking, see the AssetWise CONNECT Edition Implementation Guide.

After the workflow has been created as described in Creating a Comments Tracking Workflow, it must be assigned and started.

Follow these steps to assign and start the comments tracking workflow.

  1. Open the Comments Tracking workflow that you want to assign and start.
  2. From the Tasks menu, select Assign and Start.
    The Assign and Start dialog appears. For example,
  3. Select a Skill from the list.
  4. In the Assignee box, begin entering the assignee's name as defined in AssetWise Director, and then select the desired assignee from the list. For example,
  5. You can enter a Planned Start Date and Planned End Date.
  6. When you are finished, click Verify and start.
  7. Before operations can be completed on a workflow, each Task must be accepted. You can click View Instuctions in the workflow footer to determine what work is being requested. For example,

    Note: if the document is related to more than one active workflow, a hyperlink appears in the bottom left corner of the page, allowing you to select the appropriate workflow. For example,
  8. Click Close, and then do one of the following:

    Click Accept

    or

    From the Tasks menu, select Accept.

  9. You can now create and add new documents to the workflow, or you can add existing documents to the workflow. For more information, see Adding Documents to an Object, and Adding Existing Documents to an Object.
    Documents to be commented on must have the Comments Tracking Workflow Purpose enabled. This can be accomplished either when adding or creating the document
    or by expanding an existing document row on the Documents tab:
    The Purpose column displays representative icons for each workflow purpose applied to a document:
    Icon Purpose
    Approval
    Comments Tracking
    Note: When adding documents from the Actions menu, the Comments Tracking and Approval Subject is already selected by default, (assuming that the workflow is configured properly). When adding documents using the Quick Add control, you must manually add the required Workflow Purposes (as described above). For example,
  10. After all of the desired documents have been added to the workflow, do one of the following:

    Click Complete.

    or

    From the Actions menu, select Complete.
